Please tell us about yourself in the context of your software and give a brief intro to the software.

I have spent much of my career working at the intersection of technology, security, product development and business transformation. What has always interested me most is not technology for its own sake, but the practical question of how technology can remove friction without removing control, security or accountability.
That perspective is very much reflected in Circularo.
Circularo started its journey more than a decade ago and has evolved from a technology and consulting background into a global platform for digital signatures, document workflows and trusted digital transactions. Today, we work with organizations ranging from smaller businesses and startups to large enterprises and government institutions.
At its simplest, Circularo helps people prepare, collaborate on, approve, sign, share, verify and manage important documents digitally. But I think describing it simply as an eSignature platform would increasingly miss the point.
A signature is only one event in the lifecycle of an important document. Before it is signed, someone needs to create it, review it, approve it and verify the identity of the people involved. Afterwards, the organization may need to preserve evidence, prove what happened, integrate the transaction into other business systems and retain control over where sensitive data is stored.
This is where Circularo is evolving. We are building a platform around trusted digital transactions, combining workflows, digital signatures, identity, evidence, integrations and, increasingly, intelligent automation.
For me, that is the interesting part of this industry. The future is not about replacing a pen with a mouse click. It is about making digital business processes trustworthy from beginning to end.

What was the core reason behind developing this software?

The core reason was surprisingly simple: organizations were digitizing documents, but not necessarily the processes around them.
For years, companies replaced paper with PDFs, introduced electronic signatures and moved files into cloud storage. But the underlying workflows often remained fragmented. One system was used to create a document, another to store it, email was used for approvals, a separate service handled identity verification, and someone still had to manually reconstruct what happened if there was an audit, dispute or compliance review.
We saw an opportunity to address the whole process rather than just one isolated step.
Circularo was developed around the idea that important digital transactions need more than a signature. They need structure, visibility, security and evidence. Organizations should be able to manage who can access a document, who needs to review or approve it, how identities are verified, what actions were taken and how the resulting evidence is preserved.
Over time, that original idea has become even more relevant. Regulation is becoming more demanding, digital identity ecosystems are developing rapidly, and organizations are under increasing pressure to automate processes without losing governance or control.
So, while the first motivation was to make document processes faster and easier, the larger ambition has always been to make them more reliable.
Today, I would say that Circularo exists because efficiency alone is not enough. In business, government and other high-trust environments, you also need to know that a digital process is secure, traceable, defensible and capable of standing up to scrutiny years after the transaction has taken place.

How is your software different from other alternatives available in the market? How does it benefit your customers?

The eSignature market is mature, and there are many good products available. I think the mistake would be to pretend that customers choose a platform simply because it can place a signature on a PDF. Most established solutions can do that.
The real difference is in what happens around the signature.
Circularo was designed as a broader environment for managing trusted document transactions. That means customers can combine document preparation, approvals, signing workflows, identity verification, secure sharing, evidence-based archiving, integrations and organizational controls within one platform.
Another important differentiator is flexibility. Different organizations have very different requirements. A startup may simply want an affordable and easy way to get contracts signed. A large enterprise may need advanced workflows, integration with Microsoft 365 or internal systems, detailed access controls and centralized administration. A government or highly regulated organization may also require data sovereignty, dedicated infrastructure or on-premise deployment.
We try to avoid forcing all of those customers into the same model.
I also believe trust is becoming an increasingly important differentiator. It is not enough to make a process convenient if, later, nobody can confidently answer who did what, when and under which conditions. That is why identity, traceability, security and evidence are as important to us as usability.
The benefit for customers is ultimately practical: fewer disconnected tools, less manual coordination, faster processes and stronger control.
The goal is not to add technology for the sake of it. It is to make complex document processes feel simpler for users while giving the organization more visibility and confidence in what is happening behind the scenes.

Which industries do you cover in general? Are there any specific industries that are more beneficial using your software?

Circularo is used across a very broad range of industries because the underlying challenge is remarkably universal. Almost every organization, regardless of what it does, has contracts, approvals, forms, official correspondence or other important documents that need to move between people and systems.
That is why we work with organizations in banking and financial services, government, healthcare, insurance, real estate, construction, education, hospitality, accounting and tax, manufacturing and many other sectors.
So I would not describe Circularo as software built for one specific vertical. The platform is designed around common business processes that appear across industries, while allowing those processes to be adapted to very different organizational and regulatory requirements.
That said, some organizations naturally derive particular value from the platform.
Highly regulated industries benefit from the combination of security, traceability, digital signatures, identity assurance and evidence. Government and large enterprises often need structured approval processes, centralized administration and greater control over how digital trust services are deployed. Organizations with large volumes of repetitive documents can benefit from templates and workflow automation.
Another important area is integration. Not every organization wants people to leave their existing systems and move into another application. Through our API, Circularo can become part of a broader technology ecosystem, allowing developers to integrate document management, signing and workflow capabilities directly into their own applications and business processes.
Ultimately, the question is less “What industry are you in?” and more “How important are your documents and the decisions connected to them?”
Where documents carry operational, financial, legal or regulatory significance, there is usually an opportunity to make the process faster, simpler and more trustworthy.

What are the core features of your software that make your product stand out in the competitive market?

I think the strongest feature of Circularo is actually the way its capabilities can be combined.
Of course, the platform provides the things people would expect: digital signatures, document preparation, templates, approvals, sequential and parallel workflows, reminders, secure sharing, document management and audit trails. But the real value appears when these capabilities become parts of one process rather than a collection of separate tools.
For example, a document can be created from a template, routed through a predefined approval workflow, sent to internal and external participants, signed or sealed, and retained together with the relevant activity history. Depending on the requirements, identity verification, integrations and additional controls can become part of that same process.
What makes this particularly important is that different organizations need different combinations of these capabilities.
A startup may primarily need something simple, fast and affordable that allows it to send contracts without building an administrative burden around the process. An SMB may want to standardize recurring documents and approvals. A large enterprise may need centralized administration, sophisticated workflows, integrations and the ability to support large numbers of users across different departments. Government organizations and other high-assurance environments may have additional requirements around control, governance or deployment.
Then there is the developer perspective. Through our REST API, webhooks and integration capabilities, organizations can use Circularo as a building block rather than only as a standalone application. Document and signature processes can be embedded into existing applications and automated workflows.
So I would not point to one single feature and say, “This is what makes us different.” The real differentiator is the ability to start with a relatively simple use case and grow toward much more complex, integrated and controlled digital processes without necessarily changing platforms.

How do you justify the value of your software compared to its cost?

I think value for money is genuinely one of Circularo's differentiators, and there is no reason to pretend otherwise.
The enterprise software market can sometimes create the impression that a higher price automatically means a better product or service. In reality, customers are often paying not only for technology, but also for the scale of a vendor's brand, sales organization and marketing machine.
We have taken a somewhat different approach.
Our ambition has always been to build a product that can stand technically and functionally alongside much larger players while keeping our pricing competitive. Depending on the requirements and commercial model, Circularo can often be priced materially below some of the major brands in the market, sometimes by double-digit percentages.
That does not mean competing by being the cheapest option. It means being efficient and focusing our investment on the product and on our customers.
We do not believe we need an enormous advertising budget to convince the market that Circularo works. The more important test is whether the product delivers and whether customers are happy to recommend it. In that respect, customer feedback has been encouraging. Our reviews on Gartner Peer Insights reflect strong ratings not only for product capabilities, but also for areas such as service and support.
There is also the broader cost of the process itself. When organizations rely on disconnected tools and manual coordination, the real expense is often hidden in follow-ups, duplicated work, delays and unnecessary risk.
So our value proposition has two sides. We aim to provide a competitive cost of entry, but we also want the platform to reduce the ongoing cost and complexity of the processes it replaces.
For me, that is the ideal combination: a robust product, good service and a price that allows customers to feel they are paying for the value they receive rather than for the size of the vendor's marketing budget.

How will you keep up with new technology and customer requirements?

Technology changes quickly, but I do not think the answer is to chase every new trend or turn the product roadmap into a collection of individual customer wish lists.
Listening to customers is extremely important to us. When you work with startups, enterprises, government organizations and regulated industries, you gain valuable insight into where existing processes create friction and where new requirements are emerging. Those conversations are an essential source of information.
But listening does not mean automatically saying yes to every request.
Every potential change has to be considered in a broader context. We look at whether it addresses a wider market need, how it fits into the architecture of the platform, what impact it may have on other customers and, most importantly, whether it supports the strategic direction we have chosen for Circularo.
I believe this is essential for building a sustainable product. If a company simply adds every requested feature, it can eventually create something that does everything, but lacks a clear identity and becomes increasingly difficult to use, maintain and develop.
Our objective is therefore to remain genuinely customer-driven without becoming customer-by-customer driven.
At the same time, we invest in the underlying architecture of the platform so that Circularo can evolve rather than being rebuilt every few years. Cloud-native technologies, Kubernetes, APIs, integrations and modular services give us the flexibility to introduce new capabilities and adapt to changing deployment environments.
Artificial intelligence is another obvious example. We are interested in where AI can genuinely improve document processes, reduce repetitive work or help users interact with information more effectively. But we are equally conscious that, particularly in areas involving sensitive documents, identity and compliance, new technology must be introduced responsibly and for a clear purpose.
For me, keeping up with technology is not about following everything that changes. It is about understanding what is changing, listening carefully to the market and our customers, and then making deliberate choices about where Circularo should go next.
That means continuing to evolve - but doing so with a clear direction rather than simply following the loudest request.

Where will you see your software in the next 10 years, and what are your future plans for that?

Ten years is a long time in technology, so I would be cautious about making very specific predictions about what Circularo will look like in 2036.
But I am quite confident about our direction.
We believe the concept of an eSignature platform will continue to become too narrow. Signing a document is only one event in a much larger digital transaction. Before the signature, there may be identity verification, document generation, negotiation, review and approval. Afterwards, there may be evidence preservation, archiving, integration with other systems and automated follow-up actions.
The boundaries between these stages are already becoming less distinct, and we expect that trend to accelerate.
Our vision is for Circularo to continue evolving into a broader trust infrastructure for digital transactions. A platform where organizations can manage not only documents and signatures, but also identity, evidence, automation, integrations and the controls needed to make important digital interactions trustworthy.
We also expect sovereignty and deployment flexibility to become increasingly important. Not every organization will be comfortable placing all of its critical digital processes into the same global cloud environment. Governments, regulated industries and larger enterprises are increasingly looking for greater control over where data resides and how services are operated.
At the same time, the experience for the end user should become simpler, not more complicated. Much of the complexity around security, compliance and technology should increasingly happen in the background.
So, if I had to summarize where I see Circularo in ten years, I would say this: less focused on being a place where people go to sign a document, and more focused on becoming a trusted infrastructure that organizations can use to build, automate and manage important digital processes.
Technology will change. The interfaces will change. AI will undoubtedly change the way we work. But the underlying need for trust, proof, accountability and control is unlikely to disappear.

What steps are you taking to adapt your product for a mobile-driven world?

I actually think we have moved beyond the idea of a purely “mobile-driven world.” Today, the more important question is not which device someone is using, but in what context they are trying to get work done.
People move between laptops, tablets and phones. They work remotely, from an office, while travelling or directly inside the business applications they use every day. Asking users to leave that environment, open another application and change the way they work simply because a document needs to be approved or signed does not always make sense.
That is why our approach is broader than simply offering a mobile experience to prove that we are “mobile by design.”
We focus on making Circularo available in the contexts where customers already work. Through integrations, contextual applications, add-ons and APIs, users can work with documents and workflows from within familiar environments such as Microsoft 365, SharePoint, Microsoft Teams, Google Workspace, Odoo and directly from the Chromium browser.
The objective is not to force every customer into one particular way of using Circularo. It is to adapt Circularo to the customer's working environment and make digital document processes feel like a natural extension of the tools they already know.
This is particularly important for collaboration. A document workflow may involve people working from different locations, using different devices and accessing different systems. What matters is that they can review, approve, sign and collaborate without unnecessary friction while the organization retains the appropriate security, traceability and control.
So, for us, the future is less about asking whether a feature works on mobile and more about asking whether it works in the right context.
If someone needs to complete a task from a phone, that experience should be simple. But if the same person spends most of their day in Teams, Microsoft 365, Google Workspace or another business application, Circularo should be able to meet them there as well.
Ultimately, we do not want customers to change their habits just to use our platform. We want our platform to adapt to the way they work.

What are your efforts for maintaining software integrity and regulatory compliance?

We take cybersecurity, privacy and compliance extremely seriously. This is not simply because some of our customers operate in regulated industries or because we deal with important documents. It is a fundamental part of how we design, operate and evolve the Circularo platform.
Circularo supports transactions and processes that can carry legal, financial, commercial and personal significance. In that environment, security and integrity cannot be treated as features added at the end of development. They have to be considered throughout the entire lifecycle of the platform - from architecture and development to testing, operations, access management, monitoring and continuous improvement.
The same applies to privacy and regulatory compliance. Our customers need to know not only that their information is protected, but that the platform can support their own governance, security and regulatory requirements. Depending on the environment, this includes areas such as authentication, access controls, auditability, data protection, identity assurance and data sovereignty.
Circularo is independently certified against ISO 9001 for quality management, ISO/IEC 27001 for information security management and ISO/IEC 27017 for cloud security controls. We also comply with the DESC Cloud Service Provider Security Standard and support Advanced Electronic Signatures in accordance with the eIDAS framework. Naturally, GDPR principles and requirements are also an important part of how we approach the protection and processing of personal data.
However, I would never describe certifications or compliance statements as the reason customers should trust us. I see them as evidence of something that has to exist much deeper within the organization.
A certificate on a website does not make a platform secure. Passing an audit once does not guarantee that a company will remain compliant or resilient as technology, threats and regulations change.
Real platform integrity comes from the discipline behind it: secure engineering practices, risk management, access controls, testing, monitoring, incident management and, perhaps most importantly, a willingness to continuously question and improve what we do.
That is why our approach is based on continuous commitment rather than one-time achievement. Certifications and compliance assessments provide independent validation that our processes meet recognized standards. But our commitment to cybersecurity, privacy and compliance has to exist before the audit begins - and continue long after it ends.

Could you explain how you create and sustain healthy relationships with your customers?

I think healthy customer relationships are built on something very simple, although it is not always easy to practice consistently: being honest, responsive and realistic.
Technology companies sometimes create unnecessary problems by promising too much during the sales process and then asking the product or support teams to deal with the consequences later. We try to take a different approach. If Circularo is a good fit, we want to explain clearly why. If there are limitations, complexities or requirements that need additional work, we would rather discuss them openly than create expectations that cannot be met.
Listening is equally important. Our customers operate in very different environments, and their feedback often gives us a much better understanding of how the platform performs in the real world than we could gain internally. They show us where processes create friction, where expectations are changing and where we need to improve.
But, as I mentioned earlier, a good relationship does not mean automatically agreeing to every request. Sometimes the most honest answer is that a particular requirement does not fit our product strategy or is not something we can responsibly promise at that moment. I believe customers appreciate clarity more than vague commitments.
Sustaining the relationship then comes down to consistency. Customers should know where to go when they need help, receive straightforward communication and feel that their concerns are taken seriously. This applies equally to routine questions and to situations where something has gone wrong.
For me, trust is particularly important here. We build a platform around trusted digital processes, so it would be rather contradictory if our own customer relationships were based on unclear promises or difficult communication.
Ultimately, we want customers to stay with Circularo because the platform continues to deliver value and because they know they can have an honest conversation with us. Long-term relationships are not built by pretending that everything is always perfect. They are built by being reliable, transparent and willing to work through problems together when it is not.

What is the biggest challenge that you have faced, and how did you overcome it to make your software successful?

One of the biggest challenges has been evolving Circularo in a market that has changed dramatically since the company began its journey.
When Circularo started, electronic signatures were still something many organizations were only beginning to explore. Over the years, the market became far more competitive, customer expectations increased and digital signatures themselves became only one part of a much broader conversation involving identity, automation, cloud infrastructure, cybersecurity, compliance and digital sovereignty.
The challenge was not simply keeping up with that change. It was deciding what we should change - and what we should not.
As a company competing with much larger and better-known vendors, it would have been easy to focus on copying every feature competitors introduced or following every new trend in the market. But that can quickly lead to a product without a clear direction.
Instead, we have tried to evolve Circularo while remaining focused on the problems we believe are becoming increasingly important: trusted digital transactions, flexible workflows, identity, evidence, integration, security and organizational control.
That evolution has not always been straightforward. Technology has changed, deployment models have changed and the requirements of a startup can be very different from those of a government institution or a large regulated enterprise. Supporting that diversity while keeping the platform coherent is an ongoing challenge.
I do not think there was one moment when we “overcame” this challenge and everything suddenly became easy. In reality, building a successful technology platform is a continuous process of learning, making decisions, occasionally realizing that something needs to change and then having the discipline to improve it.
If I had to identify what helped us most, it would be the willingness to evolve without losing our direction. We listen to customers and watch the market carefully, but we also try to make deliberate choices about where Circularo should go.
That is probably the biggest lesson I have learned: long-term success is not about predicting the future perfectly. It is about building an organization and a platform that are capable of adapting when the future inevitably turns out differently than expected.
