About Traista Lost and Found

Traista is a free lost and found software platform purpose-built for hotels, resorts, airports, campgrounds, amusement parks, cruise lines, and other high-traffic venues that regularly recover guest belongings. Unlike manual processes — paper logs, spreadsheets, and phone tag between staff and guests — Traista replaces ad hoc tracking with a structured lost and found management system that covers the entire claim lifecycle from report to return.

Guests submit a claim through a branded, venue-specific link, describing the lost item along with its date and location, directly from their phone. Staff log found items into a searchable digital inventory, attaching photos and descriptions as items arrive from housekeeping, security, or lost-and-found drop-off points. Traista's AI-powered matching engine then compares open claims against logged inventory, surfacing likely matches by item description, location, and date — eliminating the need for staff to manually cross-reference lists. Once a match is confirmed, staff message the guest directly through the platform, and the guest receives automatic status updates at every stage: claim received, item matched, item shipped.

For return shipping, Traista generates prepaid shipping labels and handles payment collection, so staff simply package and send the item without coordinating carriers or pricing. A complete audit trail of every claim and communication gives operations managers visibility into resolution times and staff performance, whether managing a single property or a multi-location hotel portfolio.

The business value: venues using Traista resolve lost item claims faster, cut staff time spent on manual follow-up, and turn a common guest frustration into a fast, professional experience that protects online reviews and guest loyalty. Because Traista is free lost and found software — guests only pay for return shipping if they choose it — venues can implement a professional lost and found system with zero setup cost or contract commitment.

01

Please tell us about yourself in the context of your software and give a brief intro to the software.

I'm Sorin, co-founder and CEO of Traista, a B2B lost-and-found platform built for hospitality, travel, and entertainment businesses. This platform evolved from a personal experience while traveling and seeing the tools designed to make it easy for the software not the end user. Traista replaces clunky confusing software, or the spreadsheet-and-email chaos most venues rely on. A simpler, yet structured system that was built with the travel industry users and travelers in mind. It has a simplified UI/UX, it uses image recognition, natural language matching, and AI-powered ranking to connect lost items with their owners faster. We built it to serve airports, hotels, camps, and event venues where guest experience and staff time both matter. What started as a way to solve a broken software solution, it has grown into a platform trusted by operations teams who need lost-and-found handled reliably, not as an afterthought.

02

What was the core reason behind developing this software?

Traista started because lost-and-found was — and still is at most venues — run on spreadsheets, email threads, and physical logbooks, or just poorly designed software/interfaces. That approach doesn't scale, it's slow for guests, and it creates real liability and labor cost for operations teams. We wanted to give hospitality, travel, and entertainment businesses a purpose-built system instead of a workaround. The core reason wasn't just efficiency — it was recognizing that a guest's lost item, whether a passport, medication, or a child's stuffed animal, is often an emotional moment, and how a venue handles that moment affects the guest relationship long after checkout. We built Traista to turn a frustrating, manual or broken workflow process into a fast, professional experience for both the guest and the staff member handling the request, using AI to do the help people work smarter, not harder.

03

How is your software different from other alternatives available in the market? How does it benefit your customers?

Most alternatives to Traista are generic ticketing tools repurposed for lost-and-found, or no system at all — just email and spreadsheets. Traista was purpose-built for this single workflow. We use image recognition and NLP-based text matching so staff can log a found item in seconds and the system suggests likely matches against guest reports automatically, rather than relying on someone manually searching through logs. We've also integrated AI-generated item descriptions from photos, so staff don't have to type out details, and a parent/guardian verification link staff can control, which speeds up claim verification while keeping the process secure. For customers, that translates into faster item returns, less staff time spent on a low-value task, and a better guest experience at exactly the moment a guest is stressed about something they lost.

04

Which industries do you cover in general? Are there any specific industries that are more beneficial using your software?

We focus primarily on hospitality, travel, and entertainment — hotels and resorts, airports and airlines, summer camps, and event or entertainment venues. These are all high-foot-traffic environments where items get left behind constantly and staff don't have time to manage it manually. Airports and airlines benefit especially because of the volume and urgency involved — a lost passport or medication can affect someone's ability to travel. Camps benefit because parents expect fast, trustworthy communication about a child's belongings, which is why we built the parent verification feature. Hotels and lodging benefit from the guest-experience angle, since how a property handles a lost item often shapes a guest's overall impression and likelihood to return. In general, any business with recurring guest turnover and physical spaces where items get left behind is a strong fit for Traista.

05

What are the core features of your software that make your product stand out in the competitive market?

The core of Traista is the easy to use interface, and the matching engine: image recognition and NLP text matching that connects found items with guest-submitted lost reports without staff having to manually search through logs. On top of that, we've added AI-generated item descriptions, so staff can photograph an item and have Traista draft the listing details automatically, cutting logging time significantly. We also built a staff-controlled parent/guardian verification link, which lets venues confirm a claimant's identity remotely before releasing an item, adding a layer of security without adding friction to be used at the discretion of the organization. The platform is designed to be simple enough for frontline staff to use with minimal training, while giving operations managers visibility into open items, claim status, and turnaround time across their properties.

06

How do you justify the value of your software compared to its cost?

We price Traista as a free SaaS rather than positioning it as a nice-to-have add-on, because the cost of not having a system is real: staff time spent manually managing lost items, guest complaints when something isn't found, and liability exposure when high-value or sensitive items go unclaimed. Compared to the labor cost of a person manually cross-referencing found items against guest inquiries, Traista pays for itself quickly in guest satisfaction, especially at higher-traffic properties. We also don't require venues to build custom infrastructure — it's a ready-to-use platform, so there's no development cost on the customer side. The value case is straightforward: less staff time, faster resolution, and a better guest experience, at zero cost.

07

How will you keep up with new technology and customer requirements?

We stay close to the businesses actually using Traista day to day — property operations teams, front desk staff, camp directors — because they're the ones who see where the workflow breaks down. That feedback loop and ugly interfaces (built by competitors to make make it easy for them and their models, not the users) is what led to architect an AI work flow that is not visible to the end user, except when adding inventory items for descriptions, as well as verification link (optional). Both came directly from watching how staff actually used the product and input from industry users, not just "experts". On the technology side, we keep evaluating advances in image recognition and language models, since those are the two capabilities the platform depends on most, and we fold improvements in as they become reliable enough for production use. We'd rather ship fewer features that solve a real observed problem than chase every new AI capability that comes out.

08

Where will you see your software in the next 10 years, and what are your future plans for that?

Over the next several years, I see Traista becoming the default lost-and-found infrastructure for hospitality, travel, and entertainment, the way point-of-sale or booking software became standard rather than optional. That means expanding further into airports and airlines, where the operational and compliance stakes are highest, and deepening automation so that matching found items to guest reports requires even less manual staff involvement than it does today. We're also looking at how Traista can plug into the broader systems these venues already use — property management systems, guest communication tools — so lost-and-found isn't a separate silo. Longer term, I want Traista to be recognized as the category-defining platform for this space, the same way specialized software has come to define other overlooked operational functions.

09

What steps are you taking to adapt your product for a mobile-driven world?

Staff using Traista are rarely sitting at a desk — they're at a front desk, walking a property, or working a gate — so the product has to work well on a phone or tablet, not just a browser on a laptop. We've built the workflow around quick, in-the-moment actions: photographing a found item, letting AI draft the description, and logging it in seconds from wherever the staff member is standing. On the guest side, most people reporting a lost item are doing it from their phone, often while traveling, so we've kept that reporting flow simple and fast. Mobile isn't a secondary experience for us — for most of our users, it's the primary one, and we design accordingly.

10

What are your efforts for maintaining software integrity and regulatory compliance?

Because Traista handles items that can include sensitive documents, medication, and personal belongings — and because some of our users interact with minors, like camps — we take data handling and access control seriously. We've built staff-controlled verification steps, like the parent/guardian link, specifically to add accountability into the claim process rather than leaving it informal. We're also working through compliance improvements around data privacy language and accessibility to make sure our terms and platform meet the standards our customers, particularly larger travel and hospitality operators, expect. As we grow into more regulated environments like airports, we treat compliance as an ongoing process, not a one-time checkbox, and we update our practices as our customer base and the regulatory landscape evolve.

11

Could you explain how you create and sustain healthy relationships with your customers?

We stay directly involved with our customers rather than handing everything off to a support queue — as a small, founder-led team, I'm often the one having the conversation with a hotel operations manager or directors about what's working and what isn't. That direct line means we hear about friction points early and can respond quickly, whether that's a product tweak or just walking someone through a feature. We also try to be transparent about what Traista does and doesn't do yet, rather than overselling capabilities, because trust matters more in a long-term B2B relationship than a single sale. Being responsive and honest, especially in the early stages of working with a new venue, has been what turns a pilot into a renewed customer.

12

What is the biggest challenge that you have faced, and how did you overcome it to make your software successful?

The biggest challenge has been proving the value of a purpose-built system to venues that have been managing lost-and-found manually for years and don't see it as a priority until something goes wrong — a high-value item goes missing, or a guest complaint escalates. Selling software for a problem people have normalized takes more education than selling something they're already searching for. We overcame it by leading with concrete outcomes — staff time saved, faster returns, fewer complaints — rather than technology for its own sake, and by starting conversations with venues where the pain is most acute, like airports, hotels, and camps, where the cost of getting it wrong is higher and more visible. Building real relationships with early customers who could vouch for the product also mattered more than any marketing campaign in getting the next venue to take a meeting.
